TekvoxWhatsApp best practices

How to keep the clinic's WhatsApp healthy.

The receptionist answers on the same number the clinic already uses. These habits lower the risk of WhatsApp restricting the number, with or without Tekvox.

Day to day

Six habits that make a difference.

  1. 01

    Use a number with history

WhatsApp is wary of newly created numbers. If the number is new, use it normally for a few days, chatting with real people, before connecting it to the receptionist.

  2. 02

    Complete the clinic's profile

Photo, name, description, address and hours. A complete profile builds trust with patients and with WhatsApp itself.

  3. 03

Let the patient start the conversation

The safest way is for the patient to send the first message: through the website button, the link in bio or an ad. The receptionist replies to whoever wrote.

  4. 04

    Send bulk messages sparingly

Messages to your patient list should go only to people who are already patients and have a reason to receive them. Tekvox bulk messages go out with a gap between each send, and anyone who no longer wants them can opt out.

  5. 05

Avoid links in the first message

Messages that open with a link are often reported as spam. Save the link for when the patient is already chatting.

  6. 06

    Personalize the text

The same message sent to many people draws attention. Use the patient's name and talk about something relevant to them.

What usually leads to a restriction

  • Lots of messages to people who never talked to the clinic
  • Patients reporting or blocking the number
  • Modified versions of WhatsApp or extensions that send mass messages
  • Misleading content or content that breaks WhatsApp's rules

If the number gets restricted

WhatsApp lets you know in the app itself. Look at what changed in the last few days, such as a large bulk send or many reports, and request a review through WhatsApp's official support, explaining how the clinic uses the number.

The Tekvox dashboard warns you when WhatsApp disconnects, so the clinic doesn't stop answering without noticing. If you need to switch numbers, you can connect the new one from the dashboard itself by scanning the QR code.
